Job Description:
The Facilities Administrator will oversee daily office operations and facility maintenance at our Alpharetta location. This pivotal role ensures the office runs smoothly and efficiently, providing a safe and welcoming environment for all employees and visitors. This includes, but is not limited to, providing administrative support, managing office maintenance, allocating environmental space, and seating, ensuring safety and compliance, and handling vendor management.
 
Key Responsibilities Include:
Administrative Support
  • Answering Phones: Manage incoming calls with professionalism, directing inquiries to the appropriate personnel.
  • Shipping and Mailing: Oversee the shipment of packages and handle incoming and outgoing mail to ensure timely delivery.
  • Employee Meeting Support: Assist in organizing employee meetings, including scheduling, room setup, and providing necessary materials.
Office Upkeep
  • Restocking Supplies: Maintain inventory levels of coffee and other kitchen essentials, ensuring these amenities are always available.
  • Conference Room Maintenance: Clear and prepare conference rooms before and after meetings to keep spaces clean and organized.
  • Organize Common Areas: Keep coffee stations and mail rooms tidy and functional, enhancing the overall office environment.
Space and Seating Allocation
  • Office Space Management: Efficiently allocate workspace and seating arrangements to accommodate staff needs and promote productivity.
  • Future Planning: Anticipate and plan for future space requirements.
Safety and Compliance
  • Regulatory Adherence: Ensure the office complies with all federal, state, and local regulations, including OSHA and OT standards.
Vendor Management
  • Supply Ordering: Support the procurement of office supplies via Staples, Aramark, Iron Mountain, etc. maintaining relationships with vendors to secure the best products and prices.
  • Contracted Vendor Coordination: Oversee services provided by contracted vendors, including mid-day and night porters, coffee, shredding, etc. to ensure quality and reliability.
  • Landlord Liaison: Act as the primary point of contact with the landlord for facility-related issues, fostering a cooperative relationship.
